WhatsApp Reminders Calendar Guide
Site Admin Guide: How to schedule reminders in the monthly calendar, set their recurrence, and send them via WhatsApp.
What the Reminders Calendar Does
The reminders calendar is the business's monthly calendar. Each day, record things you must not forget: VAT payment, car service, a meeting, or receiving goods. Each reminder is sent as a WhatsApp message to the business number or any other number.
A reminder can be one-time or recurring — daily, weekly, or monthly. It can be sent at the time of the event or in advance, a few hours or days beforehand. Every reminder can also be sent manually, instantly, with one click.
What You Get with the Reminders Calendar
- One monthly calendar for all the business's reminders, with the current day highlighted.
- One-time, daily, weekly, or monthly reminders — with an end date when needed.
- Send via WhatsApp at the time of the event, or 1–24 hours or 1–30 days beforehand.
- The business's WhatsApp number is pre-filled, and you can replace it with any number.
- A "Send Now" button for sending any reminder immediately.
- Edit and delete from the details window without leaving the calendar.

How to Schedule a Reminder, Step by Step
Select a Day in the Calendar
Click the desired day's cell. A "New Reminder" window opens, with the date already filled in — and the time set to 10:00.
Enter a Subject
A short subject, such as "VAT payment" or "Meeting with supplier." This is what appears in the calendar cell.
Enter Details
Everything you need to remember: an address, contact name, or what to bring. The details are sent in the message.
Checking the WhatsApp number
The business number is already filled in. You can replace it with any other number in international format: 972 followed by the number without the leading zero.
Updating the date and time
The date and time of the event itself.
Choose a frequency
Once, daily, weekly, or monthly. A recurring reminder also includes an "End date" field. Without an end date, it repeats indefinitely.
Choose when to send
"At event time" or "Hours before" / "Days before" - then choose how many: up to 24 hours or up to 30 days.
Save
Click "Save". The reminder appears in the calendar immediately, and the "Saved" message confirms it was saved.
View, send, edit, and delete
Clicking a reminder in the calendar opens the "Reminder details" window: the subject, date and time, details, frequency, and when it will be sent. The window has four buttons at the bottom:
- Send now
- Sends the reminder to WhatsApp immediately, to the number saved in it. When finished, a message shows the number it was sent to.
- Edit
- Opens the form with all the details. Make changes and click "Save".
- Delete
- Deletes the reminder after confirmation. For a recurring reminder, all its occurrences are deleted.
- Close
- Closes the window and returns to the calendar.

Tips for working with reminders
- Recurring payments, such as VAT or rent — set them once as a monthly reminder.
- For a meeting outside the office — send it a day before, so there's time to prepare.
- Write down everything needed in detail: address, phone number, and what to bring. The WhatsApp message is what you'll see when the time comes.
- Want to make sure the number is correct? Click "Send now" and check that the message arrived.
- For a reminder that repeats for a limited period — set an end date to keep the calendar clear.
