iCount Import Guide
Three ways to bring data from iCount into biz: one-time customer import, document history import, and automatic alerts for every new customer or document created in iCount.
Import Customers
On the Addresses screen, the "IMPORT FROM ICOUNT" button opens "Import Customers from iCount". Before importing, a list of all iCount customers is shown, with a status for each:
- New
- Not found in biz - a new record will be created.
- Match
- An existing record was found by company ID, email, or phone - it will be linked to iCount.
- Linked
- Already linked. Empty fields in the record will be filled from iCount.
- Conflict
- The matching record is already linked to another iCount customer - it will not be changed.
The country is imported as well. The "Source" column on the Addresses screen shows whether the record came from iCount or was created in bizlayers.
Import Document History
"Import Documents from iCount" imports documents previously issued in iCount, by date range. "Check" shows how many documents exist of each type and how many already exist in biz; "Import" imports the missing documents, with on-screen progress and a "Stop" option.
- What Is Imported
- Quotes, orders, transaction invoices, receipts, tax invoices, tax invoices/receipts, and credit notes.
- How It Is Saved
- Each document is saved as a corresponding document in the Document Center, approved and linked to iCount.
- Canceled Documents
- Marked "Canceled in iCount".
Import is available to super admins only and is performed for the site selected on the connection page.
Alerts for New Customers or Documents in iCount
After the webhook is enabled, every new customer and every tax invoice, tax invoice/receipt, or credit note created directly in iCount arrives in biz immediately, with no action required.
- New Customer
- A customer record is created or linked.
- New Document
- A corresponding document is created in the Document Center and, if needed, an order as well.
- Dashboard alert
- A red bar below the menu shows what was added from iCount since the previous login: customer name, document type, number, and amount. Clicking a document opens it.
The webhook box on the connection page shows whether notifications are active and the last ten messages received from iCount.
Getting started
Enable notifications
On the "iCount link to bizlayers by site" page (super admin), select the site and enable the "Customer and invoice webhook" box. The system registers the message-receiving address with iCount — no configuration in iCount is required.
Import customers
On the Addresses screen, click "IMPORT FROM ICOUNT", review the list, and click "Import".
Import document history
On the connection page, in the "Document history" box, open "Import documents from iCount", select a date range, click "Check", and then click "Import".
Check
Compare the VAT report in biz with the "Transaction Summary" report in iCount for the same period.
Tips
- Enable the webhook before importing history — this prevents documents created during the import from being missed.
- Import customers before documents so the documents are linked to their cards.
- Check customers with "Conflict" status and fix them manually.
- We recommend continuing to create documents in biz; a document created in iCount is added to biz, but without biz's internal details.
FAQs about importing from iCount
What happens when a new customer is created in iCount?
iCount sends a message to biz, and a new address card linked to iCount is created — or an existing card with the same company number, email, or phone is linked to it. An alert appears on the dashboard.
What happens when an invoice is created directly in iCount?
A corresponding, approved document linked to iCount is created in biz: a tax invoice, tax invoice/receipt, or credit note. If the invoice is not based on an order that exists in biz, an order is also created. An alert with a link to the document appears on the dashboard.
What if the document was created in biz?
It already exists in biz, so no duplicate document or duplicate alert is created.
A customer was updated in iCount — is it updated in biz?
Yes. Updating a customer in iCount updates the linked card in biz. Deleting a customer in iCount is only recorded in the log; the card is not deleted from biz.
Can the import be run again?
Yes. Existing cards and documents are skipped, so no duplicates are created.
What number is assigned to an imported document?
The iCount number, for example INV-IC-2218. The import does not use biz numbering sequences.
Why aren't delivery notes imported?
iCount does not allow searching for delivery notes via the API.
