General System Guide — Sites, Users and Permissions
An introductory guide for anyone starting to work with Business Layers: what a site is, how to log in, who can see what, and how the system adapts to your business.
What Is Business Layers
Business Layers is a modular ERP system for managing your business, running entirely in a browser — on desktop and mobile, with no installation. One system includes purchasing, sales and documents, items and inventory, customers and suppliers, services and reminders, and a business website.
Many businesses use the same system, and each business works within its own site. Each business has its own data, menu and appearance, and cannot see other businesses' data.
What Is a Site
A site is a business's account in the system. Each site has a permanent site number, and every piece of data saved in the system — an order, item, customer, reminder or image — is linked to the site number. This keeps each business's data separate.
- Site Number
- A permanent identifier assigned when the site is opened. It appears in the business's public website address and on some screens.
- Business Identity
- The business name, logo, favicon, stamp and header color. They appear on all system screens and on documents sent to customers and suppliers.
- Menu
- Each site has its own menu, which determines which modules appear and in what order. A new site receives a default menu, which can be changed completely.
- Home Page
- The screen that opens in the center of the dashboard after login. Each site can have a different home page.
- Domain
- A site can use the system address or its own domain linked to it.
Two Sides of Every Site: The Management System and the Website
Each site has two sides, each with a separate menu:
- ERP — Management System
- The internal side of the business: orders, inventory, documents, suppliers, expenses and more. Access requires login.
- WEB — Business Website
- The customer-facing side: landing pages, blog, price list, self-service appointment booking and more. It is public and opens without login. The "Guest site" link on the dashboard displays it exactly as a guest sees it.
Logging In
The system does not use a username and password. There are two ways to log in:
- Google Account — Click Sign in with Google and select the account.
- Email Link or Code — Enter the email address to receive an email with a one-time login link and a 6-digit code. The link and code are valid for a short time and one use only.
The email address identifies the user: each email is associated with one site, and the system opens the correct site based on the email. An unapproved site is not opened, and a message indicates that the account is pending approval.
Open a new site
Log in or complete a request form
A new user logging in for the first time is taken to a request form to open a site: business name, address, country, business or company number, phone, and email.
The request is reviewed
The request is sent for review, and the requester receives an email confirming that it was received.
The site is opened
After approval, a new site is opened with its own number, and the requesting email address is granted admin access.
Email with a login button
An approval email is sent with a "Login now" button. On the first login, the site is already set up with a default menu.
User types and permissions
Permissions are determined by the logged-in user, not by the computer or address. There are three levels:
- Guest
- Anyone who visits the business's public website without logging in. Guests see only the WEB menu and public pages — landing pages, blog, price list, appointment booking, system guides, and public forms (for example, a form completed by a supplier). Guests cannot see management data or change anything in the system.
- Site admin (site-admin)
- The business owner or manager. They access their site's ERP menu, work with all programs in the menu, see and change only their site's data, update the business details, build the menu, and upload their own programs to My prog.
- Super admin (super-admin)
- The platform manager. Has everything a site admin has, plus system-level tools: approving site-opening requests, switching between sites and editing each site's menu, managing the program catalog, security and testing tools, and editing guides shared by everyone.
- A program marked for super admins is blocked for all other users, even when opened directly by URL. Unauthenticated users are redirected to the login screen, while authenticated users without permission are returned to the dashboard.
- An admin of one site cannot view or change data from another site.
- System guides are shared by all sites, so only a super admin can edit them. Everyone else can read them.
The menu determines what is visible
All programs exist in the platform's program catalog, but users see only what is in their site's menu. A program not in the menu is not deleted and does not lose data — it is simply not displayed.
The menu is built in the Menu Manager: drag programs from the catalog, organize them into folders, and change their name, icon, and color. Menu changes are fully reversible and do not change any data.
Your own programs — My prog
A site admin can upload an HTML program they created themselves (for example, with AI) — a clock, form, calculator, or any other tool. Each file is checked before saving, and files containing dangerous content are blocked. Programs appear under My prog, with up to 10 programs per site. The system does not store data from these programs — they run only in the browser, and the admin is responsible for them.
Help within the system
- System guides
- A guide for each area, with a table of contents by group and search by topic.
- AI Guide
- The circle labeled AI in the top menu. Ask a question about the system and get an answer based on the guides, ending with a link to the relevant program. Available only to signed-in users.
- Find by AI
- The square next to the AI circle. Search your site's data using natural language.

Frequently asked questions
Can another business see my data?
No. Every record is associated with your site number, and each program displays only data from the signed-in user's site.
Do I need a password to sign in?
No. Sign in with a Google account, or with a link and one-time code sent by email.
Can I sign in from a mobile device?
Yes. The system works in a browser on any device, with no installation required.
What is the difference between the ERP menu and the WEB menu?
ERP is the management system menu, visible only to signed-in users. WEB is the public site's menu, visible to every visitor.
I removed a program from the menu - was its data deleted?
No. The menu only controls what is displayed. You can add the program back to the menu at any time, and its data will still be there.
How do I add a program that does not appear in the menu?
In the menu manager, drag it from the program catalog to the desired folder.
Why can't I edit a guide?
Guides are shared by all sites, so only a super admin can edit them.
Can I connect my own domain to the site?
Yes. A business domain can be linked to a site, and the public website will open on it.
